How to View Your Booking Analytics in Opencals

Opencals ships with built-in analytics so you can track booking volume and revenue without exporting anything to a spreadsheet. This guide walks through every dashboard — appointments, orders and revenue, staff, locations, services, customer feedback, abandoned carts, and CSV reports — and explains the exact metrics each one shows.

Everything lives under Analytics, split into tabs: Appointments, Orders, Services, Staff, Locations, Feedback, Checkout, Carts, and Reports. Most tabs share the same date range picker so you can compare periods, and each headline metric shows a percentage change versus the previous period. Need the raw data? Reports exports appointments or orders as CSV.

Before you start

You'll need access to your Opencals dashboard. Analytics is populated automatically from real bookings, so the more you've taken, the more there is to see. Most tabs default to the Last 30 days range; you can switch to Today, Yesterday, Last 7 days, Last 90 days, or Last 12 months from the date range picker.

Step 1 — Track appointments over time

Open Analytics and you land on the Appointments tab. Three headline metrics sit across the top:

Analytics → Appointments — totals, completions and cancellations for the selected range.
  • Total Appointments — every appointment created in the range.
  • Completed — appointments that took place.
  • Canceled — appointments that were canceled.

Below the metrics, Appointments Created Over Time plots booking volume so you can spot trends, while By Day of Week, By Hour of Day, and Status Breakdown show when bookings land and how they resolve. Use the Filter service, Filter staff, and Filter location controls to narrow any of this to a single service, team member, or venue.

Step 2 — Track revenue on the Orders tab

The Orders tab is where the money lives. Its metric row covers the full financial picture:

Analytics → Orders — revenue, order count, tax and refunds over the selected range.
  • Total Revenue — gross revenue for the range, in your store currency.
  • Orders — the number of orders placed.
  • Avg Order Value — total revenue divided by order count.
  • Tax Collected — tax charged across those orders.
  • Refunds — how many refunds were issued.

Revenue Over Time charts income across the period, and Order Count and Average Order Value each get their own trend. Payment Status breaks orders down by state, and Revenue by Provider shows how much came through Stripe, bank transfer, and cash.

Headline metrics compare to the previous period

Each metric card shows a percentage change with an up or down arrow — that's the current range measured against the equivalent previous period. A green arrow means the number moved in the good direction (revenue up, cancellations down), red means the opposite.

Step 3 — Compare staff, locations, and services

Three tabs answer "who and what is driving the numbers." They share the same three metrics — Total Appointments, Revenue, and Avg Booking Value — then rank performance by the relevant dimension.

  • StaffAppointments by Staff Member and Revenue by Staff Member rank your team. Use Filter staff to isolate one person.
  • LocationsAppointments by Location, Revenue by Location, and a Location Types breakdown.
  • ServicesMost Booked Services and Revenue by Service, so you can see which offerings pull their weight.

These are the fastest way to spot your best performers and your quiet corners.

Step 4 — Read customer feedback

The Feedback tab collects every response customers leave after an appointment, as a filterable table:

Analytics → Feedback — every post-appointment response, filterable by staff, location, service and question.

Each row shows the Date, Customer, Service, Staff, Location, the Question asked, and their Answer. Filter by Staff Member, Location, Service, or Question, and sort Newest first or Oldest first. The Checkout tab works identically but shows answers to the questions you ask during checkout rather than after the appointment.

Step 5 — Find abandoned carts and conversion

The Carts tab tells you where bookings slip away before checkout completes:

Analytics → Carts — conversion, abandonment and which services get abandoned most.
  • Total Carts — carts started in the range.
  • Conversion Rate — the share that turned into orders.
  • Abandonment Rate — the share left incomplete.
  • Avg Cart Value — average value of a cart.

Cart Status Over Time stacks Converted, Active, and Abandoned carts, and three ranked charts — Most Carted Services, Most Converted Services, and Most Abandoned Services — pinpoint exactly which offerings win or lose customers at checkout.

Step 6 — Export a report as CSV

When you need the raw rows — for accounting, a board deck, or your own spreadsheet — use the Reports tab.

Reports export as CSV for the selected date range.
Analytics → Reports — generate CSV exports of appointments or orders for any date range.

Click Generate Report, choose a Report Type (Appointments or Orders), pick a Date Range, and optionally add an email so you get a download link when it's ready. The report is queued and processed in the background — the table shows each one's Status (Queued, Processing, Completed), a live Progress bar with row counts, its file Size, and when it was Created. Download the CSV once it finishes, or delete reports you no longer need.

Reports run in the background

Large exports don't block your dashboard. A report starts as Queued, moves to Processing with a live progress bar, then flips to Completed with a download button. Add an email address when you generate it and Opencals will notify you with the download link when it's done.
